1 Who We Are

Fix PDF is a PDF utility platform operated by Fix PDF, a company incorporated and registered in India, operating out of Surat, Gujarat.

Fix PDF provides a suite of PDF tools including but not limited to: PDF conversion, compression, merging, splitting, editing, format transformation, watermarking, password protection, signing, OCR, and other document-related utilities accessible via our web and mobile platforms.

2 Scope of This Policy

This Privacy Policy applies to:

  • The Fix PDF website and all subdomains
  • The Fix PDF mobile application for iOS and Android
  • Any other services, features, or tools offered under the Fix PDF brand

This policy applies to all users globally, including residents of the European Union (EU), European Economic Area (EEA), United Kingdom (UK), California (USA), and all other jurisdictions. Where applicable, jurisdiction-specific rights and obligations are described in dedicated sections below.

3 Information We Collect

We collect information in three ways: information you provide directly, information collected automatically, and information obtained through third-party services.

3.1 Information You Provide to Us

When you choose to create an account (optional), or contact us directly, you may provide:

  • Name and email address (for account registration)
  • Password (stored in encrypted, hashed form — never in plain text)
  • Profile details (such as profile picture or display name, if you choose to add them)
  • Communications (emails, support tickets, feedback forms, or survey responses you send us)
  • Payment information (if applicable for premium plans — handled entirely by our third-party payment processors; Fix PDF does not store card numbers or financial credentials)

3.2 Files and Documents You Upload

Fix PDF is a file-processing service. When you use our tools, you upload PDF files or other documents for processing. With respect to these files:

  • Your uploaded files are transmitted to third-party processing APIs to perform the requested operation (e.g., conversion, compression, merging).
  • Fix PDF does not read, analyze, or mine the content of your documents for advertising, profiling, or any purpose beyond fulfilling your specific request.
  • Files are automatically deleted from our servers and third-party processing systems within 1 hour of processing completion, unless you are a logged-in user who explicitly saves files to their account.
  • We strongly advise you not to upload highly sensitive documents (such as legal contracts, medical records, or financial statements) unless you are comfortable with our processing model.
  • If you are a guest user (not logged in), no association is made between your uploaded files and any persistent identity.

3.3 Information Collected Automatically

When you use Fix PDF, our servers and analytics tools may automatically collect:

  • IP address and approximate geographic location (country or city level)
  • Browser type, version, and operating system
  • Device type (desktop, mobile, tablet) and device identifiers
  • Pages visited, features used, buttons clicked, and navigation paths
  • Referring URLs (the page you came from before visiting Fix PDF)
  • Date and time of access, session duration, and frequency of use
  • Error logs and crash reports
  • Performance metrics (page load times, API response times)

3.4 Cookies and Similar Tracking Technologies

Fix PDF uses cookies and similar technologies (local storage, session storage, pixels) to operate and improve the platform. We use the following types of cookies:

  • Essential Cookies: Required for core functionality such as maintaining your session, remembering your login state, and enabling file uploads. These cannot be disabled without breaking functionality.
  • Preference Cookies: Remember your settings and preferences, such as language, theme (dark/light), and tool configurations.
  • Analytics Cookies: Help us understand how users interact with Fix PDF — which features are popular, where users drop off, and how to improve the experience. These are anonymized or pseudonymized.

  • Advertising Cookies: Placed by our third-party advertising partners to serve relevant ads within the Fix PDF platform, measure ad performance, and limit how often you see the same ad. These may track your activity across websites and apps.

4 How We Use Your Information

Fix PDF uses collected information for the following purposes, each grounded in a lawful basis:

4.1 To Provide and Operate the Service

  • Process your uploaded files using third-party PDF processing APIs
  • Authenticate your identity when you log in
  • Store files associated with your account (if you opt in)
  • Deliver the outputs of your requested operations (converted files, compressed PDFs, etc.)
  • Send you transactional emails (account confirmation, password reset, file-ready notifications)

4.2 To Improve and Develop the Platform

  • Analyze usage patterns to understand which features are most and least used
  • Conduct A/B testing to evaluate new features or interface changes
  • Identify and fix bugs, crashes, and performance bottlenecks
  • Inform product roadmap decisions based on aggregated usage data

4.3 To Ensure Security and Prevent Abuse

  • Detect and prevent fraud, unauthorized access, and abuse of the service
  • Monitor for and respond to security incidents
  • Enforce our Terms of Service
  • Comply with legal obligations, including responding to lawful requests from authorities

4.4 To Communicate With You

  • Respond to your support requests, questions, and feedback
  • Send service announcements and important policy updates (non-marketing)
  • Send marketing communications about Fix PDF features and offers (only with your consent, and with an easy opt-out mechanism in every email)

4.5 Legal Bases for Processing (EU/UK Users)

For users in the EU, EEA, and UK, we rely on the following legal bases under the GDPR and UK GDPR:

  • Contractual Necessity: Processing required to deliver the service you have requested.

  • Legal Obligation: Where processing is required to comply with applicable law.

5 Third-Party Services and File Processing

Fix PDF relies on third-party technology providers to power its PDF processing capabilities. Your uploaded files are transmitted to these providers' servers for processing. We operate on a model of ongoing evaluation, which means we may work with different processing providers over time.

5.1 Our Third-Party Processing Model

  • When you submit a file for processing (e.g., convert PDF to Word), your file is securely transmitted via encrypted HTTPS to a third-party processing API.
  • These providers process your file solely to perform the requested operation and are contractually prohibited from using your file content for any other purpose.
  • We conduct due diligence on all processing partners to ensure they maintain reasonable security standards and comply with applicable data protection laws.
  • Files are deleted from third-party servers promptly upon completion of processing.

5.2 Other Third-Party Services

In addition to PDF processing, we may use third-party services in the following categories:

  • Cloud Hosting Providers: Infrastructure on which Fix PDF runs (e.g., cloud servers, CDN services).
  • Analytics Services: To understand user behavior in aggregate and improve the platform. Data shared with analytics providers is anonymized or pseudonymized where possible.
  • Email Service Providers: To deliver transactional and marketing emails.
  • Payment Processors: To handle premium subscription payments securely. Fix PDF does not store payment card data.
  • Customer Support Tools: To manage support tickets and communications.

We do not sell, rent, or trade your personal data to advertisers or data brokers. Third-party providers may only use your data as directed by us and as described in this policy.

5.3 Business Transfers

In the event of a merger, acquisition, reorganization, or sale of all or part of Fix PDF's assets, your personal information may be transferred to the acquiring entity. We will provide notice of such a transfer and the new entity will be required to honor this Privacy Policy or notify you of changes.

6 Advertising

Fix PDF displays advertisements to support the availability of our free service. This section explains how advertising works on our platform and what it means for your privacy.

6.1 How We Use Advertising

Fix PDF works with third-party advertising networks and partners to display ads within the app and website. Our advertising partners may serve two types of ads:

  • Non-Personalized Ads: Generic ads not based on your profile or behavior, shown based only on the context of the page.
  • Personalized / Interest-Based Ads: Ads tailored to your interests based on your browsing behavior, device, and usage patterns across websites and apps. This requires your consent where required by law.

6.2 Data Collected for Advertising

To serve and measure ads, our advertising partners may collect or receive the following information:

  • IP address and approximate location
  • Device identifiers (e.g., Google GAID or Apple IDFA on mobile devices)
  • Browser type, operating system, and device type
  • Pages visited and features used on Fix PDF
  • Ad interactions such as impressions, clicks, and conversions
  • Inferred interests and demographic information derived from browsing behavior

Fix PDF does not share the content of your uploaded files with advertisers under any circumstances.

6.3 Third-Party Advertising Partners

Our advertising partners operate under their own privacy policies and may use cookies, pixels, SDKs, and similar technologies to collect data. By using Fix PDF, you acknowledge that these partners may collect data as described in their respective policies. Common advertising technologies used may include Google AdSense/Ad Manager and other reputable ad networks. These partners are required to comply with applicable privacy laws including GDPR and CCPA.

6.4 Your Choices Regarding Advertising

You have several options to control how advertising data is used:

  • Cookie Consent Tool: When you first visit Fix PDF, you will be presented with a cookie consent banner where you can accept or decline advertising cookies.
  • Opt Out on Web: Via the Network Advertising Initiative (NAI) at optout.networkadvertising.org or the Digital Advertising Alliance (DAA) at optout.aboutads.info.
  • Opt Out on iOS: Go to Settings > Privacy > Tracking and disable 'Allow Apps to Request to Track'.
  • Opt Out on Android: Go to Settings > Google > Ads and enable 'Opt out of Ads Personalization'.
  • Browser Settings: Block or delete advertising cookies through your browser settings at any time.

Opting out of personalized advertising does not mean you will see no ads — it means the ads shown will be generic and not tailored to your interests.

6.5 EU/UK Users — Advertising Consent

For users in the EU, EEA, and UK, we will only serve personalized/interest-based ads where we have obtained your explicit, informed consent in accordance with GDPR and the ePrivacy Directive. You may withdraw this consent at any time through our cookie settings panel without any negative consequences to your use of Fix PDF's core features.

6.6 California Users — CCPA/CPRA

Sharing data with advertising partners for cross-context behavioral advertising may constitute a 'sale' or 'sharing' of personal information under California law. California residents have the right to opt out of such sale or sharing. To exercise this right, contact us at support@fixpdf.ai or use the cookie consent tool. We will honor all such requests within 15 business days.

7 Data Retention

We retain your information only for as long as necessary to fulfill the purposes described in this policy or as required by law.

  • Uploaded Files (Guest Users): Deleted from all systems within 1 hour of processing completion.
  • Uploaded Files (Logged-in Users): Retained in your account until you manually delete them, or until your account is closed, whichever comes first.
  • Account Information: Retained for the lifetime of your account and for up to 30 days following account deletion (to allow recovery if deletion was accidental).
  • Usage and Analytics Data: Retained in aggregated, anonymized form indefinitely; identifiable usage logs are deleted after 12 months.
  • Support Communications: Retained for up to 3 years to maintain a history of support interactions.
  • Legal Compliance Records: Retained for as long as required by applicable law, which may be up to 7 years in some jurisdictions.

You may request deletion of your personal data at any time (see Section 9: Your Rights).

8 Account Deletion

To Delete your account:

  1. Open the app.
  2. Go to Settings.
  3. Tap on "Delete Account".
  4. Confirm the deletion request.

Once the account deletion request is submitted, the account and all associated user data are permanently deleted from our servers immediately.

Data deleted includes:

  • User profile information
  • Login information associated with Google Sign-In
  • Any stored user-related data

9 Data Security

Fix PDF takes the security of your data seriously and implements industry-standard technical and organizational measures to protect it, including:

  • All data in transit is encrypted using TLS 1.2 or higher (HTTPS).
  • Passwords are hashed using strong cryptographic algorithms and are never stored in plain text.
  • Access to personal data within our organization is limited to personnel who require it to perform their job functions, based on the principle of least privilege.
  • We conduct periodic security reviews and vulnerability assessments.
  • Our third-party providers are evaluated for security compliance as part of our vendor selection process.

Despite our best efforts, no method of transmission or storage is completely secure. We cannot guarantee the absolute security of your data. In the event of a data breach that is likely to result in a risk to your rights and freedoms, we will notify affected users and relevant authorities in accordance with applicable law (typically within 72 hours for GDPR-regulated breaches).

10 Your Privacy Rights

Depending on where you are located, you may have various rights regarding your personal data. Fix PDF is committed to honoring these rights globally, not just where legally mandated.

10.1 Rights Available to All Users

  • Right to Access: Request a copy of the personal data we hold about you.
  • Right to Correction: Request correction of inaccurate or incomplete personal data.
  • Right to Deletion: Request deletion of your personal data ('right to be forgotten'), subject to any legal retention requirements.
  • Right to Data Portability: Request your data in a machine-readable format for transfer to another service.
  • Right to Withdraw Consent: Where processing is based on consent (e.g., marketing emails), you may withdraw consent at any time without affecting the lawfulness of prior processing.
  • Right to Opt Out of Marketing: Unsubscribe from marketing communications via the unsubscribe link in any email or by contacting us.

10.2 Additional Rights for EU/EEA/UK Users (GDPR & UK GDPR)

  • Right to Object: Object to processing based on legitimate interests or for direct marketing purposes.
  • Right to Restriction: Request that we limit processing of your data while a dispute is being resolved.

10.3 Additional Rights for California Residents (CCPA/CPRA)

California residents have the following rights under the California Consumer Privacy Act (CCPA) and California Privacy Rights Act (CPRA):

  • Right to Know: The categories of personal information collected, sources, purposes, and third parties with whom it is shared.
  • Right to Delete: Request deletion of your personal information, subject to exceptions.

  • Right to Limit Use of Sensitive Personal Information: Fix PDF does not use sensitive personal information for purposes beyond what is necessary to provide our services.
  • Right to Non-Discrimination: We will not discriminate against you for exercising any of your CCPA/CPRA rights.

11 Children's Privacy

Fix PDF is not intended for use by children under the age of 13 (or under 16 in certain EU member states). We do not knowingly collect personal information from children. If you are a parent or guardian and believe your child has provided us with personal information, please contact us immediately at support@fixpdf.ai and we will take prompt steps to delete such information.

If we become aware that we have inadvertently collected personal information from a child without appropriate parental consent, we will delete it as quickly as practicable.

12 International Data Transfers

Fix PDF operates globally and your information may be processed in countries other than your country of residence, including countries that may not offer the same level of data protection as your home country.

For transfers from the EU/EEA to third countries, we rely on appropriate safeguards including:

  • Standard Contractual Clauses (SCCs) approved by the European Commission
  • Adequacy decisions where applicable
  • Other legally recognized transfer mechanisms

For transfers from the UK, we rely on International Data Transfer Agreements (IDTAs) or UK addendums to SCCs where required.

By using Fix PDF from outside India, you consent to the transfer, processing, and storage of your information in India and other countries where our providers operate.

13 Third-Party Links and Integrations

Fix PDF may contain links to third-party websites, integrations, or services. This Privacy Policy does not apply to those third-party properties. We encourage you to review the privacy policies of any third-party services you interact with. Fix PDF is not responsible for the privacy practices or content of third-party sites.

14 Do Not Track Signals

Some browsers offer a 'Do Not Track' (DNT) feature that signals to websites that you do not wish to be tracked. Because there is currently no universally accepted standard for how websites should respond to DNT signals, Fix PDF does not currently alter its data collection practices in response to DNT signals. However, we remain committed to monitoring developments in this area and may update our response accordingly.

15 Changes to This Privacy Policy

We may update this Privacy Policy from time to time to reflect changes in our practices, technology, legal requirements, or for other operational reasons. When we make material changes, we will:

  • Post the updated policy on this page with a new 'Last Updated' date.
  • Notify registered users via email or an in-app notification at least 14 days before the change takes effect.
  • In the case of significant changes affecting how we process your data, we will seek fresh consent where required by law.

Your continued use of Fix PDF after the effective date of an updated policy constitutes your acceptance of the changes. If you do not agree with the changes, you should stop using the service and, if applicable, delete your account.
